Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 17 vendors, 18 documents.

How it works
- Item 01
- You tell us which systems hold the books, for how many years, and where the company stands.
- Item 02
- We check that against the vendor terms, the record-keeping law and the buyers on this site.
- Item 03
- We reply with what looks licensable, what to strip out first, and whether we would take it to buyers.
We are paid by the company whose records are licensed, and only when a deal is signed: 12.5% of its value, with a minimum, when we act as the company's exclusive agent for the whole company or one kind of record, and 10%, with a minimum, when its records join a bundle or a pool; a fee a buyer pays us is deducted from the company's. No accounting vendor or buyer on these pages pays to appear, and there are no affiliate links.
Straight answers
Can I sell accounting data to AI if the books live in QuickBooks or Xero?
Usually the books are the company's to license. Intuit's QuickBooks Online terms say you retain any intellectual property rights you have in your Content, and Xero's US terms say it does not own the data you enter. Both also keep a right to anonymised or de-identified versions, which a buyer asking for exclusivity will want to know about.(Accounting software data terms: every row, with its source)
What happens to our ledger when we cancel the accounting subscription?
It depends on the system, and the windows are short. Intuit's help page lets a cancelled QuickBooks Online subscriber export for up to a year, MYOB gives 30 days and Acumatica 60, and NetSuite's agreement says Oracle will deactivate the account and delete the data. Export the full history before anything is switched off.(Accounting software data terms: every row, with its source)
Which part of a company's books does an AI buyer actually want?
The working record: transactions with their categories, reconciliations, journals, approvals and month-end closes, ideally over many years. Payroll lines and individual employees' or customers' personal details are the parts to strip out first; a buyer prices the pattern of how the books were kept, not the names in them.(Accounting software data terms: every row, with its source)
Do accounting software vendors train AI on our ledger?
Most of the terms we read say nothing either way: 14 of 17 systems are silent on it. Sage's UK core services terms grant Sage a licence to use Customer Data to develop artificial intelligence functionality, while Microsoft's online services terms say its generative AI services will not use Customer Data to train a foundation model unless the customer instructs it.(Accounting software data terms: every row, with its source)
How long must a company keep its accounting records if it licenses a copy?
Licensing a copy does not end the duty to keep the originals. Section 388 of the Companies Act 2006 sets three years for a private company and six for a public one, and the IRS says to keep records that support a return until its period of limitations runs out.(Accounting software data terms: every row, with its source)
Can the books of a company that has closed still be sold?
Yes, by whoever now controls them. In the UK a liquidator has a statutory power to sell any of the company's property, and in a US bankruptcy the debtor must surrender its books and records to the trustee; where the debtor's privacy policy prohibits passing customers' personally identifiable information to others, a sale of it must be consistent with that policy or be approved by the court after a consumer privacy ombudsman is appointed and a hearing held.(Accounting software data terms: every row, with its source)
